Human Resources Faculty Staffing Specialist - Evaluator

General Statement of Job:
The Human Resources Faculty Staffing Specialist/Evaluator evaluates degrees, competencies, and accreditation requirements for faculty and staff; complies with accreditation standards as administered by the Southern Association of Colleges and Schools Commission on Colleges (SACSCOC); and maintains accurate and up-to-date records of employee credentials. The Human Resources Staffing Specialist collaborates with Academic Affairs hiring managers to support the hiring and onboarding processes for Faculty members. Responsible for providing ongoing guidance and support on the hiring process through the delivery of effective communications to hiring managers regarding proper procedures. Responsible for recruiting and advertising open positions; and ensures accuracy and timeliness of staffing.

Specific Duties and Responsibilities:

  1. Responsible for analyzing and evaluating transcripts and credentials to ensure compliance with accreditation standards as administered by the Southern Association of Colleges and Schools Commission on Colleges (SACSCOC) for faculty and staff to adequately fulfill Faculty and Staff positions.
  2. Responsible for tracking transcript extensions and related correspondence with appropriate follow up as per Board Policy and Administrative Regulations.
  3. Interprets and explains transcript/credential evaluations to employees and applicants.
  4. Researches and reviews institutions, programs, credentials, and accreditation to determine authenticity of documents.
  5. Maintains and updates employee credential database of all faculty and staff credentials and ERP software, and updates the Faculty Action Tracking database for appropriate compensation level.
  6. Receives and processes, and creates Faculty and Staff Posting requests for each vacancy.
  7. Maintains updated list of vacant positions on the South Texas College Careers website.
  8. Updated required and/or pertinent information for faculty and staff on the South Texas College Online Catalog.
  9. Collaborates with advertising agency on designing and placing job advertisements and selecting the appropriate advertising sources and agencies, ensuring that advertisements are handled in accordance with Human Resources guidelines.
  10. Provides ongoing guidance and training to department chairs and search committee members on recruiting policies and procedures and the applicant tracking system.
  11. Requests and assigns search committee members to each Faculty posting in accordance with Human Resources guidelines.
  12. Ensures hiring proposals/recommendations are complete, accurate and routed for required approvals in a timely manner.
  13. Monitors postings and assists with employment application review to ensure adequate pool of applicants have been received.
  14. Extends and documents formal offers of employment to recommended candidates.
  15. Assists with onboarding documents and creates identification numbers for new hires.
  16. Maintains and updates the applicant tracking system workflow and users, audits workflow status and communicates any updates or revisions to the appropriate staff.
  17. Assists with research, review, and communication of job descriptions to hiring manager.
  18. Provides necessary data for faculty employees to Payroll staff to ensure for accurate and timely processing.
  19. Maintains confidentiality regarding applicant and/or employee information, as required.
  20. Compiles reports and communicates information as requested by department chairs, administrators, and executive staff.
  21. Assists but not limiting to developing revising and updating staffing use guides, procedures, manuals, training materials, and forms.
  22. Maintains constant communication with Human Resources department personnel on matters related but not limited to hiring documents, salary placement, pay plan, staffing plan and position control.
  23. Coordinates and participates in employment job fairs.
  24. Maintains knowledge of the College’s programs, policies, procedures, program standards, and SACSCOC requirements.
  25. Travels throughout the college district, as needed.
  26. Performs other duties as assigned.


Required Education and Experience:
  1. Bachelor’s degree required.
  2. At least two (2) years of work experience in a Human Resources setting preferred.
  3. Experience in higher education and knowledge on college transcript evaluations, preferred.


Checks, Certificates, Licenses, and Registrations:
  1. Security Sensitive position: All applicants are subject to a criminal background check under South Texas College policy.
  2. In addition, subject to a federal background check.
  3. Must have or qualify for a valid Texas driver’s license and proof of liability insurance.
  4. Human Resources certification, preferred.
