The Office of the College Dean, located in Harper Memorial Library, oversees the academic and operational administration of the College, including curriculum and academic programs, finance and budgeting, study abroad and second language acquisition initiatives, Development and Alumni Relations, Housing and Residential Life, Summer Session, the Society of Fellows in the Liberal Arts, and grant administration.

The College is comprised of the College Dean's office, four Collegiate Divisions, the Office of Research and Teaching Innovations, 14 units under the collegiate division organization; the Dean of Students office with its 4 subsidiaries - the College Programming Office, the College Core Tutor Program, the Office of College Community Standards and the Center for College Student Success; the Study Abroad Office, College Information Technology, the Arley Cathey Learning Center, the Society of Fellows, Summer Quarter and the College Writing Program.

Job Summary

Reporting to the Executive Associate Dean for Finance and Administration, the Human Resources Generalist manages the human resources function for all non-academic personnel (full- and part-time staff, students, and temporary personnel) in assigned units of the College, including recruiting; training, development, and performance; culture and employee/labor relations; and leave and wage administration. The Human Resources Generalist also manages the salary and wage administration function for all non-academic personnel in assigned units of the College.

In concert with the Executive Associate Dean for Finance and Administration, this position supports College initiatives and special projects, and represents the College on University-wide committees, as appropriate.

This role serves as a key resource to staff and hiring managers to ensure all College human resource protocols and procedures are compliant with University human resource policies and guidelines as well as federal, state, and local regulations and policies.

Responsibilities

  • Recruiting - manages recruitment process for all open positions, including job description creation and/or revision, job architecture recommendations, position posting, application review, interviewing, candidate selection, salary recommendations and approval, background check completion, reference check confirmation, offer letter generation, and a robust onboarding process. Confers with unit leaders and supervisors to identify personnel needs, job specifications, job duties, qualifications, skills, and compensation.
  • Training - trains and counsels managers on a variety of HR policies, procedures, and practices to ensure compliance with all University, federal, state, and local regulations and policies.
  • Development - collates UChicago training opportunities and communicates to College staff. Works closely with College unit leadership, supervisors, and individual team members to document unit, team, and individual professional development goals.
  • Performance - works closely with College leadership to establish and maintain a performance evaluation and assessment plan for unit, team, and individual team members, as appropriate. Collects and maintains performance evaluation and assessment documents, as needed.
  • Culture - assesses employee satisfaction and engagement through interviews, surveys, and other appropriate means. Works closely with College leadership to establish and maintain a rewards and recognition program. Plans and implements unit and team opportunities that generates esprit de corps, supports College culture, and explores unit mission.
  • Employee and Labor Relations - acts as a confidential resource and central HR liaison to unit leaders, team leaders, and individual team members. Collaborates with the University's central HR Employee and Labor Relations team on employee complaints, grievances, and disciplinary actions, and advises unit managers throughout the process. Works closely with unit leadership and team leaders to coordinate, document, and support individual employee offboarding.
  • Leave Administration - manages leave administration such as Family Medical Leave Act (FMLA), Short Term Disability (STD), Personal Leave of Absence (PLOA), etc. for the College.
  • Reports - prepares and maintains standard and ad hoc reports to support the Office of the Dean of the College.
  • Payroll Administration - manages all payroll activities in Workday, which includes new hires, job changes, transfers, compensation changes, and terminations for staff, students, and temporary employees.
  • Payroll Reconciliation - reconciles payroll on a biweekly and monthly basis to ensure accuracy and that payroll is completed and processed by the scheduled deadlines. Investigates and resolves any discrepancies with administrators in each unit and central Shared/Financial Services team(s) as needed.
  • Market Data - develops and maintains market compensation data on an annual basis, or as needed, for all College staff to ensure equity and fair compensation practices that remain competitive internally and externally.
  • Supports staff hiring processes, including developing job descriptions, interviewing and reference checking, handling employment offers, and conducting orientation. Drafts templates and routine offer letters. Maintains appropriate human resources data and records, solving a range of straightforward problems using standard procedures.
  • Provides professional support to a unit's employee/labor relations efforts, including handling grievances, disciplinary warnings, and employee complaints.
  • Performs other related work as needed.

Minimum Qualifications

Education:
Minimum requirements include a college or university degree in related field.

  • Bachelor's degree.

Experience:
  • Experience as a human resource professional in higher education.
  • Demonstrated experience delivering quality customer service.
  • Detailed understanding of the University of Chicago personnel policies and procedures.
  • Experience with University HR systems including Workday.

Technical Skills or Knowledge:
  • Strong and broad computer skills (word processing, database, spreadsheet, e-mail, and web), including a strong knowledge of Microsoft Office Suite.
  • Proficiency with Workday including running reports.
