Position OverviewThe Dole Institute of Politics hosts a variety of programs during the academic year, such as political discussions, interview sessions, and roundtable discussions. We are currently hiring one Discussion Group and Outreach Student Coordinators to support our Dole Fellows and Discussion Group series and overall outreach efforts.

The Dole Institute awards a fellowship each semester to a professional in the political arena to communicate his/her experiences in a series of discussion group sessions. The sessions are open to both the student and community populations. Discussion Group and Outreach Student Coordinator(s) will work closely with the current Fellow and the Director of Programs and Student Affairs in the promotion and production of the discussion groups, as well as other Dole Institute programs and events.

This position will work under the supervision of the Director of Programs and Student Affairs.

Job Description

    Attend 1 SAB recruitment event and 4 SAB meetings per semester as a representative of the Discussion Group series. Meet with fellow at the beginning of semester: create and execute promotional plan, organize and host fellow on campus and community visits, maintain communication with Fellows throughout the semester, and plan discussion group sessions and supplemental engagement opportunities for students. Promote Dole Institute programing to KU students by tabling, advertising, posting on social media, contacting professors and student groups, emailing previous attendees weekly reminders, creating and posting flyers, chalking, etc.Execute Discussion Group logistics including organizing refreshments for each session; assisting the Fellow with session preparations; hosting and facilitating sessions; taking photos; assisting with any hosting duties; arranging post-discussion group dinners and student meet and greets on selected dates; tracking RSVPs; sending thank you notes to guest speakers; and printing, setting out, and gathering attendee sign-in sheets at each program and updating attendance records. Assist with general event set-up and tear-down including moving chairs, tables, and other event related furniture. Inform staff of upcoming Discussion Groups and Fellow events and document projects and activities, including by sending a weekly memo.Identify SAB members for event dinners and opportunities. Attend regular student assistant meetings, including the weekly marketing meetings.When in the Dole Institute office, provide administrative support including answering the phone, greeting visitors, and assisting with special projects as assigned by staff.Collaborate with the other Discussion Group coordinator, student assistants, and Fellows.Assist the Student Advisory Board Coordinator as needed.
Required Qualifications
    Enrollment of at least 6 hours in an undergraduate or graduate program at the University of Kansas during the Academic YearAvailability during Discussion Group times (Wednesdays 3-6 p.m. for fall 2024)Served at least one semester and be a member in good standing on the Dole Institute Student Advisory BoardExperience with Microsoft Office and Outlook programsExcellent oral and written communication skills as evidenced by coursework
Preferred Qualifications
  • Past participation in Discussion Groups
  • Past participation in Dole Institute events or programs
  • Minimum of 15 months remaining as a student at KU
  • Experience in event planning
  • Eligible for federal work study
