The Sr. Executive Support Specialist will provide high-level administrative and strategic support to the Chief People Officer (CPO) and the HR Leadership Team. This pivotal role manages complex executive schedules, coordinates intricate travel arrangements, and facilitates high-stakes meetings. This role requires a strategic thinker with exceptional organizational and technical skills, the ability to prioritize competing demands, and a talent for anticipating executive needs in a fast-paced environment. The Senior Executive Support Specialist will play a crucial role in enabling the HR Leadership Team to drive organizational success through effective people management strategies and data-driven decision-making.

What You'll Be Doing:
  • Answers, screens, and transfers phone calls.
  • Welcomes and directs visitors.
  • Produces and maintains data and related reports for the group or people they support. Drafting, formatting, and editing documents, reports, correspondence, and presentations.
  • Responds to and resolves or escalates both technical and administrative inquiries for the area they support.
  • Coordinates and schedules travel / transportation accommodations, meetings, and appointments for the group or people they support and processes expenses.
  • Coordinates with other managers and administrative roles to ensure an efficient workflow and an optimized administrative process.
  • Prepares agendas and coordinates schedules for meetings.
  • Records and distributes minutes or other records for meetings.
  • Assists with the preparation and editing of spreadsheets, Smartsheet, PowerPoint presentations and other documents.
  • Maintains office supplies and coordinates maintenance of office equipment.
  • Maintains a system for recording expenses.
  • Consistently demonstrates company values and expected behaviors.
  • Performs other related duties as assigned.

The ideal candidate will excel at:
  • Creating and refining professional PowerPoint presentations for executive-level meetings and group presentations
  • Developing and maintaining complex Excel spreadsheets, including pivot tables and advanced formulas for data analysis and reporting
  • Conducting in-depth research and synthesizing critical information to support executive decision-making
  • Managing sensitive and confidential information with utmost discretion
  • Proactively identifying and escalating issues to appropriate levels for timely resolution
  • Streamlining administrative processes to enhance executive productivity and team efficiency

What We're Looking For:
  • Associate degree, or equivalent experience, Bachelor's degree preferred.
  • A minimum of 4-6 years of experience in an administrative role supporting multiple departments or multiple managers.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Advanced skills with Microsoft Office products.
  • Excellent organizational skills and strong attention to detail.
  • Ability to work independently.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
