Job Summary

This position will work to support the MFR Program Executive Director with planning and executing MFR events, special projects, and activities, and addressing operational tasks like monitoring day-to-day expenses and staff needs. Under the supervision of the MFR Executive Director, this position will serve to provide exceptional support for the MFR Program's various functions and activities and will deliver crucial logistical support for the MFR Program Faculty Director, Professor Lars Peter Hansen.

Responsibilities

  • Manages and coordinates MFR events from start to finish, including handling MFR event contract negotiations, booking venues, coordinating with caterers, communicating with speakers regarding logistics, tracking attendees, tracking MFR program event expenses, preparing printed materials, staffing MFR events, sending hotel accommodation information, collecting presentation materials, and assisting with submitting travel reimbursements as well as for MFR program faculty visitors
  • Provides logistical support to the MFR Faculty Director with virtual and in-person formal speaking engagements and arranging travel itineraries for offsite speaking engagements and overseeing his day-to-day calendar
  • Assists the Executive Director in monitoring and delegating tasks to the Events and Operations Assistant including in onboarding and training for events and day-to-day operational needs and tracks expenditures for MFR events and day-to-day activities and assisting in the accounting and reconciliation of expenses.
  • Supervises MFR program interns during MFR Program events onsite and for logistical preparation in advance of MFR Program events and activities.
  • Manages and monitors the MFR Program's Twitter account by promoting MFR events and activities and engaging with Twitter users.
  • Assists with monitoring the MFR Program email account and addressing any inquiries.
  • Assists with research, including vendor selection and contract negotiation. Keeps track of all expenses, prepares reports on costs, using existing procedures to solve moderately complex problems as they arise.
  • Reviews and finalizes the guest lists, assists with mailing invitations and creates brochures for the event.
  • Works to implement ideas for improvement as they are identified in addition to providing post-event feedback on turnout and vendor performance with direction from others.
  • Performs other related work as needed.

Minimum Qualifications

Education:
Minimum requirements include a college or university degree in related field.

Education:
  • Bachelor's degree in related field.

Experience:
  • Minimum of three years of previous job experience.

Technical Skills or Knowledge:
  • Microsoft Office Suite.
  • Adobe Creative Suite.
  • Experience with University of Chicago systems.
  • Virtual systems such as Zoom and WebEx.
