The School of Nursing at the University of Virginia seeks a highly qualified applicant for the role of Senior Grants Administrator in the Office for Nursing Research (ONR) in achieving national prominence in its faculty and graduate student research programs. This position is responsible for directing pre- and post-award administration in accordance with university, state, sponsor, and federal policies and regulations.

Responsibilities:

  • Manages all aspects of grant preparation for grant types using working knowledge of sponsor and UVA guidelines.

  • Obtains information and instructions for applications that faculty will be submitting and creates check lists for faculty to follow to meet deadlines.

  • Provides institutional access point to internet resources. Organizes information on facilities and resources to serve as templates for faculty use. Obtains institutional approvals for all grant submissions.

  • Maintains knowledge of institutional guidelines such as eligibility to submit a proposal, direct and indirect cost requirements, conflict of interest, IRBs, cost-sharing, travel limitations; and sponsor guidelines such as proposal type, budget restrictions, or time limits. Utilizes that knowledge to determine appropriate structure and content of grant proposals and informs faculty, students and staff as proposals are generated.

  • Analyzes sponsor budget limitations and restrictions for grant applications and assists faculty in preparing budgets according to the needs of the research study within institutional guidelines.

  • Initiates dialogue with appropriate sponsor contact personnel to determine resolution of issues and interpretation of policies and procedures. Clearly disseminates accurate information to all parties.

  • Coordinates with Principal Investigators and finance personnel on grant technical and financial status to prepare comprehensive progress reports and accurate budget requests for continuation years. Assures continuous funding support in the transition from one budget year to the next for continuation budgets.

  • Collects information as needed for individual grant progress reports.

  • Creates and maintains databases of grant activity to provide statistics for School of Nursing annual reports, budget projections, and teaching workload reduction etc.

  • Reviews notices of grant awards for terms and conditions as well as funding amount for new, continuing, and renewal grants; updates the grant budget as needed to correspond to the award. Collaborates in grant "startup" meetings to discuss updates or changes from the original proposal, assure adherence to spending guidelines, and establish action items for successful completion of the research study.

  • As current issues arise in the area of grants and contracts, independently and proactively analyzes, interprets, and discusses their significance with faculty and students to assure satisfactory knowledge of implications with regard to incorporating changes, updates or modifications.

  • Reviews materials related to potential funding sources such as federal/state announcements, funding newsletters and email notifications, annual reports and foundation directories, and contacts faculty members to ascertain interest. Works with Development staff to identify private sources for funding.

  • As a secondary Effort Reporting Coordinator, maintains sufficient knowledge of grant status and effort reporting procedures to advise faculty when needed as they certify effort reports.

  • Serves as hiring official for staff positions in the ONR including the recruitment of vacant staff positions.

  • Supervises and trains ONR staff to assure awareness of expectations for individual job requirements, knowledge of grants and contracts procedures, and resources to achieve School of Nursing goals and objectives.

  • Ensures that staff receive frequent, constructive feedback. Ensures that the requirements of the performance planning and evaluation systems are met and evaluations are completed by established deadlines with proper documentation. Ensures that performance issues are addressed and documented as they occur.

Required Qualifications:

  • Bachelors degree in Accounting, Finance, or a related field and at least five years of relevant experience in grants and contracts, finance, accounting, and/or direct fiscal management. Four additional years of experience may be accepted in lieu of degree.

  • Advanced knowledge of Microsoft Office and Excel.

  • Demonstrate high organizational skills managing multiple, competing, and simultaneous priorities effectively.

  • The ability to interact professionally and respectfully with faculty, staff, and students and negotiate successful resolutions to various situations while demonstrating a high level of attention to detail.

  • The ability to work collaboratively in a team unit as well as possess the ability to work independently with minimal supervision.

  • Show thoughtful and appropriate oral and written communication skills with strong attention to detail.

  • The ability to quickly learn new skills and adapt to change.

Preferred Qualifications:

  • Masters or comparable graduate degree in Accounting, Finance, or related field.

  • Proficiency in using UBI, ResearchUVA, Effort@, and Workday systems.

  • Knowledge of university and sponsored programs policies and procedures.

  • Experience in post-award research administration in higher education and/or research institution.

  • Some knowledge and/or experience in pre-award administration and sponsor submission sites such as ASSIST, Grants.gov, ProposalCentral, and Fastlane.

  • Preference will be given to applicants with Certified Research Administrator (CRA) designation.

Compensation:

The Anticipated Hiring Range for this position is $80,000 - $90,000 Annually. This is a full-time position with UVA benefits. Employee benefits package highlights include:

Physical Demands:

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
