Summary:
Responsible for maintaining as well as elevating the day-to-day administration of global retirement and equity benefit programs and performing special projects as directed within a fast-paced center of excellence.
Position Details:
Essential Job Functions:
- Maintain a high-level of confidentiality with employee, departmental and Company data.
- Complete and adhere to company compliance training and abide by a variety of policies.
- Documents department procedures for continuity purposes and seeks to identify and recommend areas where process improvements could be made.
- Maintain electronic filing system according to established standards and nomenclature.
- Correspond with Accounting, Legal and vendors regarding various programs' administration.
- Process and submit invoices to Accounts Payable for payment
- Communicate with employees and Human Resource Business Partners on general aspects of retirement and equity plans, and forwards as needed certain requests/inquires to manager or other departments.
- Assist with curation, posting and presenting of employee-facing Financial Wellbeing materials and presentations.
- Audit vendor systems of records' indicative and financial data against HRIS and payroll records.
- Post employee- and participant facing documents in various locations, including Workday Benefits & Wellbeing Dashboard
- Assist as directed in responding to requests from internal and external auditors in a timely manner.
- Maintain and report on statistical information utilized in making sound business decisions.
- Special projects as assigned including supporting the annual proxy team.
Other duties specific to various programs include but are not limited to those listed below:
Employee Stock Purchase Plan
- Reconcile bi-weekly contribution upload reports to Fidelity.
- Prepare Monthly ESPP Purchase Report
Restricted Stock Plan
- Maintain stock grant logs.
- Prepare stock grant resolutions for manager's review and forwarding to CEO for signature.
- Prepare grant upload files for both internal and external systems.
- Follow-up on equity grant acceptance
Retirement Plan
- Reconcile bi-weekly payroll contributions and prepare wire requests for funding for U.S., Puerto Rico, and Canada group retirement plans.
- Assist with a variety of compliance and due diligence tasks, including annual 401k plan audit, non-discrimination testing, etc.
- Assist manager with Investment Committee Coordinator & pension governance duties, including scheduling meetings.
Minimum Requirements:
- 3-5 years of experience with US and/or global benefits/retirement plans administration and compliance.
- Highly organized and detail oriented
- Adobe Pro - At least intermediate level with ability/drive to become advanced.
- Excel - Advanced level with ability/drive to become advanced (vlookups, pivot tables, etc.)
- Proficient in all other Microsoft Office Applications and ability to learn advanced functionality.
- Proficient in Workday or similar HRIS tools and general report building skills.
Knowledge, Skills and Abilities:
- Excellent time management skills with the ability to work with minimal supervision and respond to request for data in a timely and accurate manner.
- Enjoys collaborating with colleagues and vendors on complex problems to produce the best outcome for the organization and its employees.
- Highly organized and detail-oriented with a keen eye for incorporating design and graphical elements into presentations.
- Able to and enjoys organizing large quantities of data in focused analysis and applicable outcomes.
- Capable of explaining sometimes complex details to audiences of all levels in a manner that ensure relevance and comprehension.
- Interest and aptitude for maintaining and troubleshooting system integrations and reporting, preferable.
- Basic to intermediate level of benefit and 401k plan administration knowledge
- Basic to intermediate level of payroll/accounting/individual tax knowledge
Preferred Skills:
- Preference given to candidates with at least one year of experience in working with large volumes of HR data in larger a larger corporation with a global workforce.
- Preference given to candidates with experience with US Securities compliance and proxy statement filings, as well as stock plan administration.
Education:
- Bachelor's degree in Accounting, Finance, Human Resources, or in related field with strong academic record required.
