GENERAL SUMMARY

This is an entry level position responsible for ensuring all telephone calls and visitors are handled in a professional and efficient manner. Work is performed under direct supervision with results reviewed through the achievement of set goals and adherence to policies and procedures. Position functions as part of a cohesive administrative team.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Ensures reception/lobby area projects a professional and clutter-free environment
  • Maintains lobby area
  • Greets and supports visitors; offers beverages, hangs coats, ensures visitors sign guest register, validates parking when appropriate
  • Proficient in the use of the company phone system (answering calls professionally and timely, transferring calls, conferencing calls)
  • Maintains a list of employees that are out of the office
  • Oversees the mail process as well as any related equipment
  • Maintains log of all incoming packages and distributes all incoming packages
  • Maintains postage equipment and supplies; ensures adequate postage is available at all times
  • Processes Certified and Registered Mail accurately and efficiently
  • Routes and distributes incoming and outgoing mail in an accurate and timely manner
  • SAP related duties include: purchase to pay, time entry, and expense reporting
  • Ensures accurate and timely delivery of office supplies
  • Schedules the use of conference rooms
  • Maintains a Notary of Public list
  • Updates receptionist’s manual as needed
  • Assists administrative assistants with overflow work
  • Performs all other related duties as assigned
KNOWLEDGE, SKILLS AND ABILITIES

A high school diploma including course work in business and secretarial subjects, with at least one year clerical/office experience to provide for the following:
  • Knowledge of modern office practices and procedures
  • Demonstrated proficiency in business correspondence, spelling, grammar and basic accounting
  • Intermediate knowledge of Microsoft Office Suite
  • Ability to communicate fluently in English
  • Ability to efficiently handle competing priorities and tasks, remain organized and meet deadlines
  • Ability to establish and maintain effective working relationships with supervisor, coworkers, management and the general public
  • Possess excellent written and verbal communication skills coupled with a welcoming, cooperative and supportive demeanor
  • Ability to function within a matrix organization in which functional and business leaders have equal authority within the organization and employees report to both a functional leader and a business leader
  • Ability to develop and maintain productive relationships with both a functional and business leader, who collaborate on employee issues and decisions (including performance management, compensation and development)
