Our client, a company focused on partnering with individuals and families to aid in development, is in search of a Receptionist to join their team! This role will be onsite in Ashland, MA, and is looking to pay $18 an hour. This person will create an environment in which visitors are greeted and requests are managed. The Receptionist is responsible for efficient and accurate office procedures; inventory, requisition and distribution of program and office supplies; providing administrative support to the program managerial staff and assisting with projects.

Essential Functions:

  1. Provide administrative support to management
  2. Answer all incoming telephone calls and direct the caller to the appropriate individual. Provide callers with information and review all voicemail for senior leadership.
  3. Greet and direct all visitors to the program, ensuring they are met with correct staff for visitation.
  4. Responsible for the daily open and close of the program reception and main entrance area. Ensure reception area is neat and clean
  5. Work in partnership with leaders to plan and coordinate events including managing logistics.
  6. Coordinate appointments and staff meetings; serve as point of contact for meeting communications and for assuring the appropriate participation. Maintain visual schedule at reception area.
  7. Attend various meetings as requested to keep minutes. Handle all follow up to meetings including typing and distributing meeting minutes, as directed
  8. Develop and maintain accurate and complete data collection and ongoing required documentation for day services program projects. Continue to monitor for accuracy, completeness, and integrity.
  9. Oversight of receipts and tracking for leadership billing statements and petty cash.
  10. Maintain ordering for all cost centers of necessary supplies.
  11. Supervise the maintenance of all office equipment, including copiers, and mail machine. Ensure supplies are in stock.
  12. Follow procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
  13. Ensure that all office, programmatic, cleaning, and kitchen supplies are stocked appropriately.
  14. Maintain and replenish routine job development supplies including staff business cards and program brochures
  15. Assist with facility and vehicle scheduling/maintenance. Coordinate all maintenance orders with Facilities Department and Director of Operations. Coordinate cleaning tasks with custodian.
  16. Ensure reception area coverage, maintain schedule and training of back-up assistance
  17. Attend and actively participate in trainings as assigned; maintain necessary certifications (CPR, First Aid, Safety Care).
  18. Ensure that individuals we support are treated with dignity and respect
  19. Adhere to all principles related
  20. Attend and actively participate in supervision and team meetings.
  21. Perform all duties in accordance with agency's policies and procedures.
