General Summary/Overview:

The Project Manager role is shared between Martha's Vineyard Hospital and Nantucket Cottage Hospital and will partner with leadership to identify, prioritize, and drive the implementation of system-wide and local initiatives to reduce the rate of expense growth, improve patient care, accelerate innovation, and educate the next generation of clinicians.

The Project Manager will work closely with site leadership to drive the development, implementation, and management of complex, high-priority initiatives to achieve specific milestones and goals. This will include providing a broad range of analytic, planning, and other management support activities, often across multiple projects simultaneously.

The individual will work with leaders across the organization to help manage the identification, implementation, and monitoring of initiatives that will help the organization achieve our goals.

Principal Duties & Responsibilities:

Project Management and Content Development

• Uses critical thinking skills and high emotional IQ to independently manage high-priority, complex, system-wide initiatives that support MGB, MVH, and NCH strategic priorities

• Actively facilitates and participates in the work as appropriate, gathering information, performing analyses, assisting senior leadership to make informed data-driven decisions, and developing/giving presentations

• Provides support and coordination for assigned activities, ensuring all assignments and projects are delivered on-time and within scope; oversees meetings logistics by working with leadership to determine meeting agendas and document key takeaways

• Works collaboratively with operational and clinical leadership to facilitate meeting discussions, engage all relevant stakeholders, and develop useful presentation materials with the goal of advancing and achieving the stated milestones and objectives

• Manages the full spectrum of analysis related to the project/committee; coordinates resources across the matrixed organization, ensuring appropriate quantitative and qualitative business, operational, and financial analyses are completed; measures and tracks project performance and impact

• Collects and disseminates accurate, relevant, and timely information to the members of the project team or committee, stakeholders, and leadership

• Develops a detailed project plan to monitor and track progress; manages changes to project scope and schedule; identifies, tracks, and develops mitigation plans for risks; reports and escalates as needed

• Leads multiple projects simultaneously that each involve multiple team members representing several operational and/or clinical areas across MGB

• Proactively identifies potential issues / challenges to project implementation, escalates them to leadership, and supports devising contingency plans

• Partners with project leadership to plan project activities, determine meeting agendas, and facilitate as appropriate; takes detailed meeting minutes and documents key takeaways such as decisions and action items

Analysis

• Manages the full spectrum of analysis related to the project/committee; collaborating and coordinating with others to provide clinical and financial business intelligence to stakeholders for assigned initiatives, committees, or senior leaders

• Provides input to the team or senior leadership on additional analyses and key next steps

• Performs data analysis and manipulates data to support business decision-making; presents data to both business and clinical constituents in an accurate, meaningful, and concise manner; converts data into persuasive presentations for leadership

Communication and Collaboration

• Develops strong, positive relationships with all levels of staff across MVH, NCH, and MGB; collaborates with these colleagues to leverage their expertise and experiences to identify best practices and advance the work

• Provides timely and accurate progress reports on all current initiatives

• Prepares concise, creative, professional summaries of analyses and plans for members of Senior Leadership and others, as appropriate

• Effectively presents findings to all levels of staff, targeting the presentation towards the knowledge level and needs of the audience

• Communicates project plans, project objectives and milestones, implementation plans to all stakeholders and other relevant parties

Qualifications
Qualifications:

• Bachelor's degree required; Master's degree preferred

• 3-5+ years of experience as a consultant or project manager in a complex multi-faceted organization working with senior level leaders required, ideally in healthcare but other industries considered

• Process improvement skills and/or training preferred

• Outstanding judgement and discretion in interacting with operational and clinical leaders on political and confidential issues

Skills/Abilities/Competencies:

• Effective at establishing and managing multiple large-scale, multi-faceted projects simultaneously that require interdepartmental and multi-institutional cooperation

• Excellent leadership skills with a strong ability to influence in a matrix organization; able to foster trust and collaboration within all levels of an organization and throughout a complex variety of departments in multiple disciplines

• Strong financial analysis and problem-solving skills: able to gather data, compile information from a variety of disparate sources and manipulate large amounts of data, able to ensure data integrity using quality checks at various points in the process

• Strong sense of proactiveness - ability to manage and drive work and agenda with leadership guidance.

• Superior organizational, written, and oral communication skills, ability to present data to both business and clinical constituents in a clear, meaningful, and concise manner

• Demonstrated ability to work independently as well as within a team

• Effectively responds to time sensitive issues and meet deadlines; takes ownership and accountability for timeliness, accuracy, and relationship management

• Willingness and ability to undertake tasks from administrative support to supporting strategic project planning and everything in between.

• Familiarity with Hospital Operations is a plus

• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Visio, SharePoint) required, and adept at learning new software applications

Supervisory Responsibilities:

• No direct reports; may provide guidance to less seasoned and new staff.

Fiscal Responsibility:

• No direct budgetary responsibility.

• Demonstrates fiscal responsibility by effectively using Mass General Brigham resources.

Working Conditions:

• Hybrid working model; from home, and on hospital campuses as needed, up to 10 days a month

• This position may involve work outside usual working hours

• Local travel to Martha's Vineyard and Nantucket as needed

• While performing the duties of this job, the employee is frequently required to sit; talk; or hear; use hands to finger; handle; or feel; reach with hands and arms. The employee is occasionally required to stand; walk; and stoop; kneel; or crouch. The employee must frequently lift and/or move up to 5 pounds and occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision and depth perception.

• The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Normal office working conditions. The noise level in the work environment is quiet to moderate.

• Must be available to work in the case of a Hospital declared emergency.
