The Procurement Coordinator II plays an important role in assisting the Purchasing Manager in the acquisition of essential goods and services, including but not limited to office supplies, raw materials, art supply items (essential for decoration business). This role demands a meticulous approach to the procurement process. This includes ordering, data entry, coordinating, reconciliation, communications, filing, and other duties as required, for the success of these garment decoration programs and departmental objectives.


  • Assist Purchasing Manager with ordering art supply items, and other purchases required within normal operations.
  • Reconcile multiple daily reports, and enter items into Oracle, perform standard Excel functions and file all purchasing documentation.
  • Maintain the files/notebooks for each art supply item type (reports, purchase orders, expected receipts, add-on requests, etc.)
  • Run and review the Expected Receipts Report at least once per week. Work with the Receiving Department to cross check what was received.
  • Contact internal and external sources to advise the status of late or requested hot orders.
  • Work with Accounts Payable and Receiving with invoice discrepancies within purchase orders in Oracle.
  • Update items with complete description, vendor part numbers, PO costs and landed costs in Oracle.
  • Order art supply items (patches for versa twill, rhinestones, cold press, etc.) and update PO lines as needed.
  • Maintain electronic databases of art supply item purchase histories.
  • Prepare monthly purchasing audit documentation.
  • Accurately enter Oracle POs for goods and services and submit to existing vendors.
  • Communicate with vendors and internal customers (sales, customer service, production, warehouse) regarding status of orders, shipment tracking, etc.
  • Proactively resolve issues (i.e., material delays/shortages, quality issues, etc.) with vendors and internal customers.
  • Conduct research/evaluate products for possible purchase.
  • Request and analyze quotes to determine best purchase options.
  • Support other purchasing team members in all tasks as required.

  • High School diploma or GED required
  • Bachelors degree in Supply Chain Management, Business Administration, Accounting and/or Textiles & Apparel, preferred
  • 2+ years in buying, procurement, purchasing and/or other similar experience in an organization's "supply chain required
  • Robust analytical and problem-solving skills.
  • Comfortable and confident in learning and using multiple systems
  • Functional knowledge in MS Excel is required. Functional knowledge is defined as the ability to create spreadsheets that include exporting, linking (cells, sheets and files) formatting, sorting, deleting, saving, data entry, merging and other standard excel functionality.
  • Keen attention to detail, coupled with superior organizational and time management capabilities.
  • Comprehensive understanding of procurement processes, and supplier relationship management.
