Job Description

Basic Function and Scope of Responsibility:

The Procurement and Inventory Coordinator is responsible for placing orders and providing inventory management support for all inventory and non-inventory products utilized in operations.

This full-time position will work onsiteMonday-Friday, 8:00AM-5:00PM, with overtime as needed.

Please note we are moving to a new facility in February 2022and this position will be relocated to Lenexa, KS.

Essential Job Duties:

Level I - Minimum

  • Creating purchase orders - Auto Replenishment and Consumed Orders
  • Receive product and ensure inventory levels are accurate
  • Knowledge of the products used by the labs and understand how the product is received and consumed
  • Assure appropriate expense codes, warehouse, and department are assigned to each purchase order
  • Process and code accounts payable in a timely manner and accurately
  • Demonstrate working knowledge of SOP regarding spending levels and procurement procedures
  • Monitor and review reporting regarding following up on outstanding purchase orders and contact buyer and vendors accordingly to ensure timely receipt of ordered services/products
  • Perform daily inventory decrementing for specific vendor products based on lab usage as determined by management
  • Process and assist with sales orders and collaborate with various departments to ensure shipment and billing of those orders
  • Represent department and the organization favorably and in accordance with established Company standards and associate attributes at all times.
  • Participates in developing department goals, objectives, and systems
  • Assist with implementation of any current or new Company/Department initiatives
  • Perform other duties as assigned by management
Level II - Fully meets the qualifications of Level I plus the following:
  • Knowledge of the products used by the labs and understand how the product is received, stored, broken down, moved and consumed
  • Perform an accurate inventory count of all products warehoused and stored - daily, weekly, monthly or cycle counting
  • Maintain all inventory par levels and re-order Min/Max levels in accounting/purchasing system in accordance with lab usage and demand
  • Understand, maintain, and implement LEAN inventory practices in accordance with current Company/Department initiatives
  • Maintain and communicate effectively all elements of Quality Control process
  • Label and move product to desired locations
  • Record and properly store product received that requires immediate attention
  • Recognize, log, and communicate new manufacturer's package inserts to appropriate departments
  • Pull product for lab usage in FIFO order and decrement from Inventory levels, unless restrictions apply
  • Manage product during service calls or when refrigeration/freezer units are outside of acceptable temperature ranges
  • Process cycle counts to ensure inventory counts are current
  • Perform inventory replenishment of the laboratory and assist with inventory receiving as necessary
  • Organize and maintain product within the warehouse and throughout the laboratories

Qualifications

Essential Knowledge, Skills and Abilities:

Level I - Minimum
  • High school diploma/GED required, any relevant college accounting/finance coursework preferred
  • 1 year of experience with procurement/inventory management, general accounting experience, OR equivalent education such as college level accounting/finance coursework preferred
  • Knowledge and proficiency in usage of Company utilized system of Coupa preferred
  • Proficient in data entry
  • Customer service focused and professional attitude
  • Ability to solve problems, prioritize and multi-task
  • Ability to read and interpret documents such as internal SOPs, operating and maintenance instructions, and procedure manuals
  • Ability to work outside core business hours as needed
  • Ability to work in a team environment and interact closely with team members
  • Work under supervision of management
  • Goal oriented with excellent time management and organizational skills
  • Excellent interpersonal skills with ability to interact and work effectively and efficiently with people at all levels in an organization
  • Excellent verbal & written communication skills
  • Keenly attentive to detail
  • Ability to keep sensitive information confidential
  • Basic to intermediate proficiency with PC based software programs, including Microsoft Office Excel
Level II - Fully meets the qualifications of Level I plus the following:
  • Associates degree preferred
  • Minimum of 2 years of experience in procurement/inventory or general accounting;
  • Previous experience in a laboratory/healthcare work environment preferred
  • Ability to work with minimal supervision on moderately complex projects
  • High level of proficiency with PC based software programs, with superior knowledge of MS Excel; ability to compile data in spreadsheets

Physical Requirements:

Physical dexterity sufficient to use hands, arms, and shoulders repetitively to operate a keyboard and other office equipment, use a telephone, access file cabinets and other items stored at various levels, including overhead.

Ability to speak and hear well enough to communicate clearly and understandably with sufficient volume to ensure an accurate exchange of information in normal conversational distance, over the telephone, and in a group setting.

Ability to continuously operate a personal computer for extended periods of time (4 or more hours).

Mental acuity sufficient to collect and interpret data, evaluate, reason, define problems, establish facts, draw valid conclusions, make valid judgments and decisions.
