Purpose

As the Payroll Manager, you will be responsible for managing payroll operations internally while utilizing ADP as our outsourced payroll vendor. You will collaborate closely with ADP to ensure seamless integration and efficient payroll processing. This position will work with exempt and non-exempt employees (salary and commission) in a variety of states and multiple legal entities. This position will report to the Sr. Manager of Compensation and Payroll. The ideal candidate will have a strong background in payroll administration, excellent communication skills, and the ability to thrive in a fast-paced environment.

Key Responsibilities

Strategic:

  • Responsible for payroll system and processes to ensure timely and accurate employee payroll.
  • Complies with federal, state, and local legal requirements by staying up on new legislation; enforcing adherence to requirements; advising management on needed actions.
  • Audits all input processes, identifies any discrepancies, and reconciles items following company policies and procedures.
  • Audits and maintains payroll guidelines by ensuring procedure guide is current and up to date.
  • Identify and implement process improvements.
  • Liaison with third party software vendor for testing related to upgrades and new functionality.
  • Own all payroll tax and governmental filings (monthly, quarterly and annual).
Tactical:
  • Manage the outsource of third-party vendor for the end-to-end payroll process, including data collection, processing, and accurate and timely distribution of payments, using ADP's payroll platform.
  • Serve as the main point of contact for ADP, coordinating payroll activities, resolving issues, and ensuring compliance with service level agreements.
  • Collaborate with HR and finance teams to gather payroll data, review employee information, and process payroll changes accurately and timely.
  • Reconcile payroll data and prepare reports to ensure accuracy, compliance, and transparency in payroll processing.
  • Stay informed about changes to payroll laws, regulations, and best practices, and ensure compliance with all relevant requirements.
  • Provide training and support to internal stakeholders on ADP's payroll platform and related processes.
  • Prepares weekly, monthly and ad hoc report of earnings, taxes, deductions and accounting reports.
  • Responsible for proper administration of payroll taxes - ensure taxes are withheld timely and oversight of third-party outsourced payroll tax provider.
  • Manages garnishments and withholding order deductions.
  • Processes health, welfare and 401k deductions every payroll.
  • Responsible for workers compensation annual wage audit.
  • Monitors the payroll interface and accurately reports payroll costs on the general ledger.
  • Maintain confidentiality and integrity of payroll information at all times.

Minimum Qualifications
  • 5-7 years of experience in a large multi-location company.
  • Bachelor's degree in Accounting or Business, additional experience may be considered in lieu of degree.
  • Proficient in Microsoft Office applications and Workday and ADP payroll experience desired - computer skills must be able to maintain the demands of the job.
  • Outstanding organizational ability with great attention to details.
  • Ability to handle complex issues and deal with sensitive data and situations.
  • Ability to prioritize tasks and to work under tight deadlines.
  • Solid understanding of accounting fundamentals and payroll best practices.
  • Must have excellent verbal and written communication and interpersonal skills.
  • Previous management experience.

Preferred Qualifications
  • Certification as a CPP (Certified Payroll Professional)
  • Experience in Compensation
