Oliver Wyman Actuarial Consulting is part of Oliver Wyman Group, which works with companies to manage property and casualty, life and annuity, and healthcare risks across a broad range of industries. Our firm assists with quantification of risk and loss exposures, and provides advice on external business strategy, internal risk management, implications of mergers and acquisitions, and new product development. We use mathematical and statistical modeling skills to assist our clients in evaluating and addressing risk. We offer solutions so our clients may manage and prepare for the potential financial consequences of uncertain future events.

Start time between 08:00 and 09:00 and end time between 17:00 and 18:00 (8-hour day outside of lunch)

Job Overview

Support a group of consultants via in-depth knowledge of administrative procedures and tools and help steer the execution of office-wide strategy and growth. The successful candidate will demonstrate a basic understanding of the business service area, clients, key terms, and service offerings. Administrative assistants handle sensitive information with professionalism and integrity while communicating openly and often among team members and continually strive to promote smooth workflow and ensure client needs are met.

Key Responsibilities

Monthly Financial Reporting

  • Prepare monthly financials and revenue accruals
  • Provide Detail Billing reports to Office Leaders and Billing Managers
  • Provide support on financial reporting as necessary
  • Assist with invoice collection efforts
  • Manage the Accounts Payable process
  • Prepare expense reports
  • Administer project code setup and associated compliance items
  • Track compliance with Standard Operating Procedures
  • Prepare monthly reports detailing time charges, capacity and revenue by billing consultant and client
  • Project upcoming monthly time charges, capacity and revenue by billing consultant and client
  • Perform a wide variety of administrative duties as required to manage office and assist Client Managers

Support business development efforts
  • Track/monitor key performance indicators (KPIs) within Salesforce and Excel for leadership
  • Create monthly reports to highlight financial information and business development KPIs
  • Organize marketing materials and business development system output so that these tools can be leveraged by staff
  • Work with consultants on new business proposals, planning, and research
  • Create graphics and illustrations for reports and presentations
  • Assist with recruiting efforts
    • Create job descriptions and post open positions to various websites
    • Download, organize and review resumes and summarize information for management review
    • Coordinate interview scheduling
    • Onboard new employees
  • Track and report employee certifications and headcount status to human resources
  • Support office leaders with facilities team interactions at local level and manage inventory / office supplies
  • Organize and participate in task force meetings with staff as requested
  • Coordinate holiday cards/gifts and office social events
  • Handle team scheduling, travel and meeting arrangements as requested
  • Help with the design and execution of culture building activities and events

Experience required
  • At least three years' experience working in an administrative or customer service position
  • Bachelor's degree or equivalent experience

Technical skills
  • Excellent Word, PowerPoint, Outlook and Excel skills
  • Knowledge of Accounting/Invoicing, a plus but not necessary
  • Knowledge of Salesforce, a plus but not necessary
