Essential Job Functions:

Provide administrative support to:

• Quality - QC for returns processing
• Support R&D/Engineers - for misc. shipping documents
• Accounting - helping to gather payment details for A/R
• Auditors - provide invoices and related shipment details, delivery notes, invoice copies, statements, quotes, auditor requests for documents.
• Quote requests - inform Account Manager when quotes need updating
• Monitor customer portals (Large Accounts)
• OEM Staff - relay attendance and work schedule information
• Web and other Leads processing on Salesforce: Lead entry, Contact creation, Opportunity creation and documentation, Account creation.
• Reports creation from Salesforce, Follow-up monitoring, Quotes, and Forecast.

Primary Interface to:

• Order Entry on SAP schedule revisions, delivery notes, invoice copies, statements, quotes,
• External customers regarding orders, quotes, shipping status.
• Provide Invoice and Commercial Invoice related documents immediately after shipment.
• Freight Forwarders regarding pick-up requests, shipping documents
• Provide Export Paperwork and AES filings.
• IT regarding ShipErp label issues, Automating invoice distribution Internal customers - Stockroom, Engineers, Shipping, Accounting, Purchasing, Affiliates
• Interface with Sales Coordinators of other divisions (forwarding of non-OEM customers)
• Respond to customer requests for quote, order releases, schedule changes, schedule revisions, delivery notes, invoice copies, statements
• Enable shipments of Returns on SAP. Responding to emails that require info such as: RMAs, shipping status, tracking info, payment details

• Returns Database
• Salesforce
