Who We Are:

The Institute offers independent and high-quality R&D services to both government and industry clients. The Purchasing Department plays a crucial role in the procurement process by ensuring compliance with our Purchasing Policies and Procedures, as well as government regulations, while procuring goods and services for the Institute.

Objectives of this Role:

  • Under general supervision, is responsible for accurately and efficiently performing a variety of general administrative tasks for the Subcontracts and Services groups of the Purchasing Department as directed by management and department specialists.
  • Perform clerical duties to include making copies, scanning documents, maintaining electronic and physical records, data entry, running reports, processing subcontractor invoices, and other tasks assigned, and must be attentive to detail and work accuracy.
  • This position interacts daily with purchasing specialists, administrators, management, and visitors concerning clerical and receptionist tasks.
  • Organize internal events and meetings, reserve and set up conference rooms, escort visitors, send out meeting invitations, and take and place lunch orders.
  • Must apply conceptual knowledge to solve problems and progress work timely.
Daily and Monthly Responsibilities:
  • Perform clerical duties, including making copies, scanning documents, maintaining electronic and physical records, data entry, running reports, office supplies and coffee orders, and other tasks assigned.
  • Process firm fixed price and time and material invoices consistent with Subcontracts Group Policies and Procedures, terms and conditions of the subcontract, and Federal Regulations.
  • Route internal documents for review and approval.
  • Maintains, verifies, and tracks subcontractor invoices and other various reports.
  • Scan and upload purchasing award files and other documents.
  • Maintain reception area, welcome visitors, sort incoming mail, attend to purchasing calls, and oversee the management of office equipment.
  • Perform related duties and fulfill responsibilities as required.
Requirements:
  • Requires a high school diploma or equivalent with related clerical experience.
  • 3+ years: Related clerical experience is required. Applicant must possess strong organizational skills, work well with others, pay close attention to detail, be able to follow instructions accurately and work independently. Must be able to communicate professionally and effectively.
  • 3+ years: Strong spelling, grammar, punctuation, editing, data entry, and proofreading skills required. Ability to file both alphabetically and numerically. Proficient in operating a computer and standard office equipment.
  • 3+ years: Possess the skill to carry out fundamental mathematical calculations and analysis with accuracy. Must be able to manage multiple tasks and various priorities simultaneously.
  • 3+ years: Possess the skills to establish and maintain effective working relationships with co-workers, management, and Institute staff. Proficiency in Microsoft Word, Excel, and Outlook, and Adobe Acrobat required. Record-keeping and accounting clerical experience preferred.
  • A valid/clear driver's license is required.

Special Requirements:

Must be a U.S. person (i.e., U.S. citizen, non-U.S. citizen national, lawful permanent resident, asylee, or refugee) due to ITAR work in section.
