The School of Information Technology is a national leader in studying solutions and needs that connect people, information, and the technology of the time. The SoIT is home to Ohio's first Master of Science, and Doctor of Philosophy degrees in Information Technology. It is home to Ohio's first ABET accredited Bachelor of Science in Information Technology and a Bachelor of Science in Cybersecurity. The SoIT has been growing at 19% annually and currently serves more than 1,740 students with 29 full-time faculty members, 20 full-time staff, and 30 part-time faculty. The SoIT is home to several centers including an NSA/DHS Center for Academic Excellence in Cyber Defense, the Information Technology Solutions Center, the Ohio Cyber Range Institute, Applied Machine Learning and Intelligence Center, and the Civic Technology Center.

About the Job

The School of Information Technology at the University of Cincinnati seeks to hire an Executive Staff Assistant. We are looking for mission driven, team oriented, highly ambitious individuals who want to serve, make a difference and who strive to perform at competitive levels of excellence. As the first point of contact for the School, the Executive Staff Assistant will get to interface with all members of the SoIT community, including faculty, staff, students, and guests, on a daily basis. This position will have the exceptional opportunity to learn about, engage with, and contribute to the success of the School's innovative programs and initiatives through its support of the SoIT strategic plan and the functional structure composed of the leadership team and the six cross functional teams.

In particular, this role is responsible for assisting SoIT leaders in scheduling and supporting meetings and events. In addition, the role will support SoIT operation through entering information into different software applications (Catalyst, Concur, SAP, Website); running enrollment, financial and budgetary reports; managing logistics and providing support for SoIT events and meetings; responding to public inquiries about the SoIT and all of its programs, maintaining inventory, and maintaining the professional appearance of the School's office.

The Executive Staff Assistant is expected to maintain the highest level of professional competency and to contribute to the success of the School's strategic plan, while assisting faculty & staff as needed, and collaborating with the different teams in the SoIT to achieve their program goals.

Job Overview

Under general supervision from a designated administrator, the Executive Staff Assistant will assist in the planning and coordination of administration and/or operational activities of substantial variety and complexity in the School of Information Technology.

Essential Functions
  • Gather and evaluate information and assist in determining priorities.
  • Coordinate and evaluate procedures.
  • Coordinate the use of facilities and equipment.
  • Perform research concerning procedures and practices, identifying problems and recommending solutions.
  • Serve as liaison for administrator in the interpretation of policies and procedures.
  • Represent administrator on committees and attend meetings on behalf of administrator.
  • May coordinate personnel transactions.
  • Receive and reconcile expense statements.
  • Review and monitor expenditures on supplies, equipment, etc.
  • Perform other related duties based on departmental need.
Minimum Requirements
  • Bachelor's degree with one (1) year experience; -OR- Associate's degree with three (3) years' experience; -OR- five (5) years' experience.
  • Experience must be in high-level administrative support.

Additional Qualifications Considered
  • Understanding of the administrative functions, academic programs, and requirements of a university.
  • Ability to work in a fast-paced complex environment.
  • Proficient in Office Applications such as (Outlook, Word, PowerPoint, Excel, etc.).
  • Degree at the bachelor level.
