Ultimate Staffing is seeking an Executive Administrative Assistant who is passionate about supporting a mission-focused organization. As the Executive Admin for their headquarters in St. Louis, you'll provide exceptional administrative support to the Chief of Staff for the Chairman/CEO and President/COO. Your role will be pivotal in ensuring the smooth operation of the office and supporting a nonprofit organization as they continue to grow and make a difference!



Job Title: Executive Administrative Assistant

Location: Creve Coeur, Missouri (On-site)

Schedule: Monday - Friday, 8:00 AM - 5:00 PM

Compensation: $20- $23 per hour (depending on experience)

Status: Temp to Hire

Key Responsibilities:

  • Coordinate and schedule meetings, appointments, and events for executives, including preparing materials and presentations.
  • Assist with internal and external communications, including managing emails, phone calls, and messages.
  • Facilitate travel arrangements for executives as needed.
  • Support the coordination and execution of team building activities and special events.
  • Manage office supplies and inventory, ensuring consistency across all locations.
  • Maintain the physical office space in coordination with property management and IT/HR teams.
  • Assist team members with various administrative tasks, such as mailings, ordering supplies, and organizing lunches.
  • Serve as the main point of contact for incoming calls and visitors to the headquarters office.
  • Maintain organized files and documentation on SharePoint.


Qualifications:
  • Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel), SharePoint, and Zoom.
  • Excellent organizational skills with strong attention to detail.
  • Superior interpersonal skills with the ability to collaborate effectively with internal and external stakeholders.
  • Demonstrated ability to handle multiple tasks and prioritize work in a fast-paced environment.
  • Commitment to maintaining confidentiality and handling sensitive information with discretion.
  • High school diploma or equivalent required; Bachelor's degree preferred.
  • Minimum of 2 years of administrative support experience, preferably in a nonprofit or corporate environment.
  • Flexibility and adaptability to respond to changing needs and priorities.
