Events Scheduler (Part-Time) - 502007

SUMMARY:

The Events Scheduler serves as the central point person for comprehensive and routine events scheduled on campus. The Events Scheduler utilizes event scheduling software to reserve campus space and resources for on- and off-campus clients. As a part of the Events team, the scheduler provides support administratively, logistically, and operationally to the events staff, as required.

RESPONSIBILITIES:

Event Scheduling:

  • Receives and responds to reservation requests for use of University facilities and equipment from faculty, staff, students, student organizations, and off-campus clients.
  • Analyzes relevant logistical criteria to resolve conflicting space and resource requests.
  • Consults, collaborates, and provides direction to clients and provides direction to clients for planning and identifying resources for high quality events and functions including but not limited to catering, multimedia, parking, and etc.
  • Informs and educates clients about University policies and requirements.
  • Processes reservations for space, resources and equipment; collaborates and communicates to all departments involved.
  • Serves as a liaison with other departments on basic administrative and/or operational matters, as necessary.
  • Monitors foodservice exemptions in the reservation system.

Events Support:
  • Assists the Events team as assigned including, but not limited to, events such as commencement, orientation, and family weekends.

General Office Support:
  • Assists in general office duties as needed or assigned, to include answering telephones, and greeting and assisting visitors.
  • Prepares for meetings; prints, compiles, and distributes documents.
  • Generates calendar and reports from the reservation system in the absence of Assistant Director.
  • Distributes, tracks, and ensures the timely return of facility keys and other departmental equipment. Charges fine fees, as necessary.
  • Works with Events and Facilities to ensure accurate and adequate key inventory.

QUALIFICATIONS:
  • Ability to deliver excellent customer service.
  • Ability to perform efficiently and courteously in a fast-paced environment.
  • Ability to adapt quickly and accurately to changing situations.
  • Ability to work cooperatively as part of a team.
  • Ability to maintain confidentiality.
  • Skilled in working with diverse groups of people, handling all interpersonal situations with tact and diplomacy.
  • Skilled in problem solving and public relations.
  • Excellent organizational skills; strong verbal and written communication skills
  • General knowledge of event planning procedures and processes.
  • General knowledge of Microsoft Office Suite and event scheduling software.

EDUCATION & EXPERIENCE:
  • Associate's degree preferred
  • Minimum of 1 year of experience in the events industry, required
  • Minimum of 2 years of experience in direct customer service, required

WORK HOURS:
  • Part-time, non-exempt position
  • Monday - Friday, 8:00 a.m. - 2:00 p.m.; approximately 27 hrs./week
  • Work requires occasional nights and some w Working commencement, homecoming, and family weekends is required. Must be able to work long hours on occasion
  • Partial leave accruals (no health insurance)

SALARY STRUCTURE:
Pay Grade 4 (Hiring Range $17.18 to $21.48 per hour)
