The Customer Relation Specialist is part of the person-centered integrated care team and responsible for greeting patients as they arrive, check-in/check-out, verifying demographics, collecting co-pays, verifying insurance, and providing financial obligations to the patient if applicable. Triaging patient’s dental oral health needs over the phone, and scheduling patient appointments. This position is fast-paced, requiring continuous interactions with co-workers and patients while upholding the best customer service. Full-time, benefit-eligible position. Hours will range between 7:30am-6:00pm Monday-Friday.

ESSENTIAL FUNCTIONS – JOB SPECIFIC

Core Responsibilities
• Greet patients as they arrive and stay consistent with the company’s customer service philosophy
• Manage patient appointments, confirm appointments and alert patients if they need to bring any information to appointment (co-pays, past due balances, paperwork for sliding fee scale)
• Data Entry into EHR systems
• Complete financial paperwork, ensuring all required forms are completed in entirety
• Verify insurance/demographic information at each visit and update if necessary
• Collect co-pays and patient payments
• Review treatment plans and financing options with patients
• Answer phone in polite and courteous manner
• Triage oral health care need over telephone and appropriately schedule
• Direct phone calls and messages to appropriate office staff
• Monitor waiting area to ensure timeliness of appointments ensure patients are kept informed of progress of their appointment
• Proactively work to fill hygiene and operative appointment openings
• Receive daily reports from MIS for information needed on patients that have upcoming appointments
• Balance daily batch and turns in money collected for the day to Office Supervisor
• Disperse daily mail
• Ensure lobby/waiting area is clean and picked up
• Communicate effectively with patients and teammates
• Run morning ‘huddles’ with doctors, and clinical staff, in applicable locations
• Manage recall appointments
• Coordinate with team members to provide emergency care to patients
• Assist with meeting Compass Health’s production, and encounter goals by provider

Other Responsibilities
• Regular attendance except as excused
• Maintain strictest confidentiality; adheres to all HIPAA guidelines/regulations
• Conduct self in accordance with employee manual
• Attend all training as required by company, Accreditors and Funders
• Keep abreast of any updates/changes regarding insurance and communicate those to Office Supervisor
• Communicate any changes/updates discovered through other means to Office Supervisor
• Other duties as assigned

 



EDUCATION

High School/GED preferred

WORK EXPERIENCE

• At least one (1) year experience in customer service required
• Dental experience preferred
