About the Department:

SMU's Bobby B. Lyle School of Engineering, founded in 1925, is one of the oldest engineering schools in the Southwest. The school offers eight undergraduate and 29 graduate programs, including master's and doctoral degrees, through the departments of Civil and Environmental Engineering; Computer Science; Electrical and Computer Engineering; Mechanical Engineering; and Operations Research and Engineering Management. Lyle students participate in programs in the unique Deason Innovation Gym, providing the tools and space to work on immersion design projects and competitions to accelerate leadership development and the framework for innovation; the Hart Center for Engineering Leadership, helping students develop nontechnical skills to prepare them for leadership in diverse technical fields; the Caruth Institute for Engineering Education, developing new methodologies for incorporating engineering education into K-12 schools; and the Hunter and Stephanie Hunt Institute for Engineering and Humanity, combining technological innovation with business expertise to address global poverty.

About the Position:

In collaboration with the Department Chair, the Coordinator manages the day-to-day operations of the department front office including the direct supervision of student employees. Manages the Department Chair's calendar and processes travel request forms for seminar speakers and interviews. Prepares adjunct faculty contract data and payroll authorization forms, graduate student contracts and payroll forms. Oversees the purchase of lab supplies and equipment for the department (both for research and instructional purposes). Oversees all research project-related purchases. In collaboration with the Department Chair, prepares class schedules and assigns TAs as needed to appropriate courses each semester. Assists in updating the graduate and undergraduate catalogs. In collaboration with the Department Chair, facilitates faculty search and promotion and tenure process and documentation.

Essential Functions:

  • Manages projects for the department, provides high level assistance to the Chair, and manages the Chair's calendar. Assists with Faculty Searches, plans faculty and student events, board meetings, guest speakers. Collects data and organizes information as needed in order to assist in decision making by the Chair.
  • Provides support for faculty. Answers phones, distributes mail, ships/receives packages, reserves rooms and assists students. Assists with travel arrangements and expense reports. Keeps department web page updated.
  • Works with Department Chair on activities related to Scheduling Courses and Assigning TAs. Manages department class schedule in My.SMU.edu. Updates enrollment via My.SMU.edu and works with advising office to ensure proper enrollment capacities.
  • Prepares adjunct and graduate student contracts & payroll authorization forms, etc., as well as Undergraduate student worker PAFs. Enters tuition awards in My.SMU.edu. Reviews and approves bi-weekly time reporting for hourly or temp staff - Enters health benefit awards for Ph.D. students.
  • Responsible for purchase of supplies and equipment via Purchase Request or P-card. Responsible for timely submission of P-Card expenses related to purchases and processes invoices for payment.
  • Processes faculty, student and departmental paperwork to include: student form - grade change, enrollment discrepancies, degree plans, catalog updates, surveys, new hires - international paperwork (DS-2019), Work Eligibility, ABET and SACS accreditation documentation.
  • Some evening and/or weekend hours will be required for special events.


Qualifications

Education and Experience:

High School Diploma/Equivalent with six years of experience in an administrative position is required. An equivalent combination of education and experience will also be considered.

Experience working in higher education is preferred. Experience with academic programs in higher education is highly preferred.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.

Candidate must have outstanding written communication skills, including the proper use of spelling, grammar and punctuation, with the ability to produce error-free communications.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.

Strong proficiency with Microsoft Word and Outlook is required. Proficiency in Microsoft Excel and PowerPoint is preferred.
