Description

West Viriginia University College of Creative Arts is currently accepting Applications for a Box Office Manager. This position supports the activities of the College of Creative Arts and its guests by providing exceptional customer service to Box Office patrons, by understanding and championing the work of all CCA units and partners, and by capturing, analyzing and reporting on audience behavior to grow and cultivate the CCA audience.

What you'll do:
  • Ensure the efficient and effective operation of the CCA Box Office, including strict adherence to all applicable funds handling, accounting and security policies;
  • Maintain and communicate policies and procedures related to the operation of the CCA Box Office to drive ticket and merchandise sales and support the artistic and academic goals of the College, its individual units and its partners;
  • Seek opportunities to increase group sales by engaging new audiences and encouraging return visits;
  • Develop and maintain complimentary ticket protocol to minimize barrier to utilization while safeguarding College resources;
  • Ensure all box office staff deliver exceptional customer service at all times;
  • Educate box office staff about scheduled performances enabling them to knowledgably advocate for all College units in their interactions with the public;
  • Offer regular oversight and supervision of CCA Box Office staff and provides all necessary support to ensure consistent service for our patrons;
  • Complete the hiring and training of CCA Box Office student workers;
  • Build and manage all events, conference registrations, merchandise and development products in the Ticketing System platform;
  • Work with vendor to create and update venue seating charts as necessary;
  • Communicate with necessary departments to ensure all event and product details are accurate before being presented to the public;
  • Maintain build templates and adjusts on a show-by-show basis as necessary to properly identify restricted view and other special seat attributes;
  • Applie tags to events and products to properly group items based on accessibility, department and other attributes;
  • Work with Director of Production and Facilities to develop and maintain deadlines and schedule for the creation of new events and products in Ticketing System;
  • Maintain Ticketing System user list and roles, including proper segmentation of access, in collaboration with Director of Production & Facilities;
  • Issue daily and weekly reports as required by CCA and its units;
  • Work with CCA Business Office to develop, maintain and adhere to a written Funds Handling Policy to ensure compliance with State law and University policy, to safeguard College resources, and to provide a safe working environment for all Box Office staff;
  • Prepare receipts for deposit as prescribed by CCA Business Office and follows established protocols for account reconciliation;
  • Work with CCA Business Office to ensure division of duties as required by University Funds Handling Policy and documents any deviation from established protocol necessitated by personnel availability;


Qualifications

Bachelor's degree in a field relevant to business administration or the arts

3 years:
  • Customer service, personnel and process management experience in a public-facing environment required. (i.e. box office, hospitality industry, etc.)
  • Staff supervision and mentorship.
  • Substantial training or experience in the arts.
  • Excellent written and verbal communication skills;
  • Flexibility and ability to work in fast-paced, high-intensity environment
  • Demonstrated ability to remain calm under pressure and handle intense situations with colleagues, guests, and students;
  • Demonstrated supervisory, leadership, and management abilities;
  • Ability to implement standard Box Office practices;
  • Functional knowledge of accounting, cash handling and internal controls;
  • Firm grasp of functions of a creative arts facility, particularly in an educational setting;
  • Demonstrated understanding of Microsoft Office;
  • Proficiency with and ability to learn specialized software platforms;
  • Ability to research, source and implement new software solutions for daily operational functions;
  • Ability to lift, bend, stoop, walk, reach, and stand for extended periods of time;
  • Ability to operate a motor vehicle with either an automatic or standard transmission;
  • Demonstrated ability to manage both long-term and short-term projects;
  • Demonstrated knowledge of basic principles, practices, and methods of business administration including strategic planning, organizational theory, and personnel principles;
  • Ability to make financial projections for projects and equipment.
