The Division of Enrollment Management and the Office of the Registrar seek an innovative and energetic professional to join our team of dedicated and talented professionals. The Office of the Registrar assumes a key role in strategic planning and the coordination, integration, development, and implementation of core university functions which support campus academic departments, faculty, and students.

Job Summary

The Associate Registrar will provide critical leadership in an environment that requires strategic thinking, strong personnel and project management skills, the ability to build relationships and project confidence with campus constituents, and the technical aptitude to optimize and upgrade systems that will enhance the student, faculty, and staff experience.

Department-Specific Responsibilities

  • Participates in planning activities, assessment of goals and initiatives, supports the strategic plan of the Division of Enrollment Management.
  • Ensures high quality customer service within the Office of the Registrar.
  • Directs operations and initiatives in the development, implementation and ongoing quality assurance of activities related to the preparation and distribution of the campus instructional schedule, facilities assignment and utilization, waitlist processing, campus space planning and renovations, and other activities related to course management. Oversees the implementation of new protocols/procedures to address business needs related to these areas.
  • Analyzes, designs and enforces principles and rules which ensure optimum match of course offerings with facilities and student needs and the equitable distribution of campus teaching and learning spaces.
  • Creates, modifies, and enhances data processes which audit various aspects of academic records, provides key data sets for campus wide strategic communications, and identifies data sets used to make strategic decisions and streamline business process throughout and across campus. Conducts research, prepares and analyzes data/report and fulfills ad hoc campus reporting requests. Includes managing student record access to the university reporting environment.
  • Directs the creation & maintenance of the official academic calendars for IUPUI, IUPUC, and IU Fort Wayne campuses, including all related term processing calendars.
  • Responsible for planning, prioritizing, and overseeing the functions of the Schedule of Classes team.
  • Coordinates office testing of systems enhancements, fixes, upgrades; provides design and specifications for improved processes; monitors system activity, issues, production problems.
  • Oversight of processes related to the technical maintenance of and application of experiences to the experiential and applied learning record.
  • Engages in professional development activities consistent with the responsibilities of this position.
General Responsibilities
  • Provides highest level of operational leadership and coordination of assigned staff members to define registrar methodologies and standards; provides direction and guidance on high priority registrar projects/initiatives.
  • Establishes short-term business plans and long-term operational objectives, including managing project timelines/deliverables and developing resource plans for multi-project/multiphase registrar initiatives.
  • Conducts a variety of personnel actions to include, but not limited to hiring, promotion, performance management, and dismissal.
  • Manages high level assignments and allocation of registrar resources, including negotiating and coordinating initiatives that involve staff in other departments/areas/teams; may coordinate large-scale registrar projects with a wide audiences in support of academic initiatives.
  • Makes budgetary recommendations/proposals based on resource needs and ensures cost containment.
  • Researches and stays up-to-date on new industry registrar standards, technologies, policies, and procedures; responsible for the implementation of new protocols/procedures to address business needs.
  • Works collaboratively with other registrar leaders across departments in recommending standards, best practices, and related policies/procedures.
  • Prepares management reports and summaries for senior administration, executive, steering and advisory committees; acts as advisor to executive committees; serves on various university committees, communities of practice, and task forces related to registrar.

Qualifications

EDUCATION

Required
  • Bachelor's degree in business, public policy, or related field
Preferred
  • Master's degree
WORK EXPERIENCE

Required
  • 4 years in student services, registrar services, higher education student affairs, or related field
  • 1 year of management experience in relevant field
Preferred
  • 5 years relevant experience as successful manager in student records office with systems analysis aptitude and skills

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Salary range: $65,000 - $75,000
