Job Description:


Budget Title: Senior Staff Assistant (SL-3)


Salary: $75,000


The Institute for Genocide and Mass Atrocity Prevention (I-GMAP) seeks a highly professional team player with the capacity to handle multiple responsibilities in a small and very busy Institute. The successful candidate will be able to work collaboratively and effectively with colleagues, and will work closely with both the Academic Programs Coordinator and the Office Assistant. The AD will interact regularly with international guests, graduate and undergraduate students, and faculty and staff members from departments and units across the university, and will represent the Institute at events both on-campus and internationally.


The Assistant Director falls under the Provost's Office, in the Division of Academic Affairs, and reports to the Senior Staff Associate for the Executive Vice President of Academic Affairs/Office Manager.


Duties will include but are not limited to:


  • Work in direct support of the Co-Directors in administering the full range of I-GMAP's non-academic programs.
  • Work in direct support of the Co-Directors in maintaining the Institute's budget and finances, including budget reconciliation and fiscal planning.
  • Responsible for the logistics surrounding the Institute's Visiting and Resident Practitioners. This includes all travel, lodging, scheduling, and honoraria payments.
  • Responsible for logistics and planning for all Institute events, including the annual Frontiers of Prevention forum, the international CSO-State Forum (currently known as Safer Havens), Atrocity Response Simulation exercises, webinars, and special events.
  • Responsible for the production and distribution of the full range of Institute publications, including regular newsletters, policy briefs, and the annual report.
  • Oversee the Institute's online presence including website and media platforms, and is expected to perform regular website maintenance and updating.
  • Support the Co-Directors for planning and logistics for Institute research initiatives, which may require occasional international travel for on-site supervision.
  • Provide direction and guidance for two other staff positions at I-GMAP: the Academic Programs Coordinator (APC) and the Office Assistant.
  • Responsible for seeking out new opportunities for external grants from foundations and similar institutions, as well as working with the Co-Directors and others to complete grant applications.
  • Carry out special projects as needed and directed by the Senior Staff Associate to the Executive Vice President for Academic Affairs and Provost/Office Manager.

The successful applicant must be capable of representing the Institute and its work to domestic and international partners, including academic, governmental, and civil society-based institutions large and small. For this reason, we seek applicants with a genuine thirst for learning more about the range of global atrocity prevention actors and approaches, and an eagerness to interact productively with a wide diversity of institutions and individuals, in particular those based in the Global South.



Requirements:

  • Bachelor's degree
  • A minimum 5 years of office experience
  • Demonstrated strengths in interpersonal relations and communications with the ability to collaborate and express complex material effectively with a diverse group of individuals
  • Excellent written and verbal communication skills
  • Demonstrated skill in administration, collaborative problem-solving, and excellent organizational and planning skills
  • Strong computer skills, a keen attention to detail and excellent time management

Preferred:


  • Master's degree
  • Substantial support and/or administrative experience working in an agency or organization, where collaborative work and problem-solving have been central
  • Some familiarity or background in the global landscape of contemporary genocide and mass atrocity prevention
  • Experience planning, coordinating and supporting special events
  • Experience using social media and proficiency with editing/updating web-based information
