Pay range is $17.155 - $25.288 per hour. The pay rate may be commensurate with education and/or experience within fiscal constraints if approved.

JOB DUTIES:

• Administrative Support:
- Handling all correspondence, including emails, phone calls, and inquiries pertaining to the bridge division, promptly and professionally.
- Coordinating and organizing bridge office supplies to maintain adequate inventory levels and ensure availability when needed.
- Assisting in coordinating travel arrangements for staff members, ensuring efficient and cost-effective arrangements are made.
- Taking charge of meeting coordination, from scheduling and preparing agendas to taking accurate minutes to facilitate effective communication within the division.
- Organizing and coordinating special bridge office events to promote team collaboration and engagement.
- Coordinating employee recognition activities to acknowledge and appreciate the hard work and achievements of team members.
- Providing support during new employee onboarding processes, ensuring a smooth transition and integration into the division.
- Assisting in the maintenance of the resource library and procuring new resources as needed to ensure access to relevant and up-to-date materials.
- Perform other duties as assigned.

• Financial and Budget Support:
- Processing expense reimbursements, ensuring accuracy and timely reimbursement for division staff.
- Monitoring expenditures and preparing budget reports to assist in effective financial management.
- Assisting in budget preparations, providing support in gathering data and preparing relevant documentation.
- Providing fixed asset and vehicle management support, ensuring proper tracking and maintenance of division assets.
- Tracking consultant contracts to ensure compliance and adherence to contractual obligations.

• Document Management and Technical Support:
- Preparing correspondence and memos, maintaining professionalism and accuracy in all written communications.
- Providing editorial support for technical documents, ensuring organization and proper formatting.
- Efficiently filing and organizing physical and digital documents, transmitting them when necessary for seamless information flow.
- Supporting the management of the bridge inventory database, ensuring accurate and up-to-date records.
- Assisting the project delivery team with project management support tasks, contributing to the successful execution of bridge projects.
- Supporting the development and implementation of bridge office policies and procedures to ensure efficient operations and adherence to standards.

In this dynamic role, your administrative expertise and attention to detail will be instrumental in contributing to the overall success and smooth functioning of the Bridge Division.

Requirements / Qualifications:

Minimum Qualifications: Coursework/training or experience related to research, presentation, or publication in an area related to the programs or functions of the employing agency; business administration; accounting; customer service; and/ or technical support work, including use of computer software such as word processing, spreadsheets, and database management.

Preferred Qualifications:

  • A minimum of 2 years of similar work experience in office management and or administrative assistance.
  • Post-secondary coursework or training in office management, administrative support, or managerial support.
  • Previous experience working in a bridge engineering or transportation-related role.

Other:
  • Must have a valid driver's license with a good driving record or can provide authorized independent transportation and be available for occasional overnight travel.
  • Regular and reliable attendance is required.

KNOWLEDGE / SKILLS / ABILITIES

The Administrative Technician role within the NDOT Bridge Division requires a unique blend of skills and abilities to ensure efficient office management and provide comprehensive administrative support. The following qualifications highlight the key attributes we are seeking in an ideal candidate for this position.
  • Knowledge and experience in using standard office software such as MS Office Suite (Word, Excel, PowerPoint, Outlook) and PDF software (e.g., Adobe or Bluebeam).
  • Proficient in general computer skills and demonstrates the ability to quickly learn new software and technology platforms.
  • Proficiency in office management and administrative procedures, including handling correspondence, managing schedules, organizing supplies, and performing tasks with attention to detail and accuracy.
  • Proficient time management skills, working efficiently to meet established goals and adapt to changing priorities.
  • Strong interpersonal skills with the ability to build positive relationships and communicate effectively with colleagues, stakeholders, and external contacts.
  • Exceptional organizational skills, including prioritizing tasks, managing multiple projects, and meeting deadlines.
  • Demonstrated expertise in maintaining a clean and tidy office environment while effectively organizing supplies.
  • Proactive in identifying and addressing process improvement challenges, utilizing analytical skills to identify areas for enhancement and implementing effective solutions.
  • Ability to work both independently and collaboratively within a team environment, demonstrating strong problem-solving and critical-thinking skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
