Our client, an assistant living and adult community center is looking for an Administrative Assistant in their Roslindale location. The Administrative Assistant will be supporting the office by acting as the first point of contact for all guests and vendors. This role will be responsible for office management, accounting and filing support. This will be a temporary to hire role, compensating up to $20/hr depending on experience. This will be a 5 days onsite role in Roslindale, MA.

SPECIFIC RESPONSIBILITIES:

* Answer and direct calls promptly from the main telephone lines of both day program sites as needed.
* Provide transportation dispatch for both program sites as needed between participants/families and appropriate transportation sources.
* Greet visitors, families, vendors and assure that all sign in and out.
* Assist Day Program Participants upon arrival and departure with coats, etc. and assure safe delivery into the program with Day Program staff.
Chart/File Maintenance
* Manage and oversee the participant charting process (new enrollments, discharges, ongoing filing/thinning, reprinting).
* Maintain the approved filing/storage of hard copy documentation in the day program file closet.
* Manage and oversee the regulated filing and storage of all administrative documentation (regulatory certificates, inspections etc.)
Compliance/Regulation Support
* Trainings- Set up and maintain the personnel training files
* Provide support with daily attendance/census data entry for accurate billing.
* Submit Permission to Share authorization for all new intake and for those not currently on file.
* Scan invoices to the SecureScan drive and I will upload to Financial Edge
* Direct account inquiries as needed to the Finance Office
* Assure that the front entrance door is always securely locked and monitored during desk coverage times.
* Prioritize administrative tasks based on deadlines and level of urgency.
* Support members of the management team with work processing/computer projects, mailings, etc.
* Receive and distribute incoming mail and faxes.
* Provide support with program-related data entry as assigned.
* Initiate maintenance and technology work order requests for identified problems/concerns.
* Manage the office supply ordering process based on program and employee needs/requests, within the approved/allotted budget.
* Assist with communication to families in newsletters, correspondence and telephone calls.
* Maintain the organization of the front administrative office for HIPAA compliance and appropriate staff use.

GENERAL QUALIFICATIONS:
* Demonstrated sensitivity to the issues of aging needs of the dementia resident/participant and elder population.
* Ability to work as a team player, promoting good relations with managers, co-workers, families, residents and participants.
* Ability to communicate clearly verbally and in writing.
SPECIFIC QUALIFICATIONS:
* Two years office experience (clinical/medical experience preferred)
* Experience working with elders
* Ability to communicate well with staff, residents, guests and families
* A firm working knowledge of Windows, Microsoft Word, Excel
* Good organizational and communication skills.
